IT Management, Vendor Transitions

Changing IT partners can improve service and costs, but only if you stay firmly in control of your logins, licenses, and data throughout the move.

1. Take Inventory and Claim Ownership First

List every system your current provider touches: email, cloud storage, domain names, website hosting, backups, security tools, and line-of-business apps. Ensure all accounts are registered to a company-owned email (for example, [email protected]) and that you hold the primary admin role, not your provider.

2. Secure Logins and Update Contracts

Change master passwords and enable multi-factor authentication on critical services before announcing the switch. Review your existing contract for notice periods and data handover obligations. Confirm, in writing, that your current provider will cooperate with the transition and that all data is your property.

A simple security checklist prevents lost access and weak points during transitions.

3. Plan the Handover With Your New Provider

Share your asset inventory with the new provider and agree on a step-by-step cutover plan: who changes which DNS records, who migrates email, and when backups are verified. Insist that they use your admin account structure, with their access granted as delegated or secondary admins, so you can revoke it at any time.

📌 Key Takeaway: If you own the logins, control the admin roles, and document every system, you can change IT providers confidently without risking lockouts or data loss.
